The role of Venue Coordinator includes all the duties of a Director.
Duties of the Venue Coordinator
- Identifying Autscape's requirements for a suitable venue
- Co-ordinating the selection of a suitable venue including ensuring that the venue meets essential requirements
- Co-ordinating communication with the venue and reporting back to the board
- Checking that necessary administration in relation to the venue is carried out (including booking, contractual arrangements and payment)
- Keeping records of information related to the venue
- Collecting information relating to accommodation and room sharing, meal provision and other venue-specific information from participants
- Overseeing the allocation of accommodation to individual participants
- Communicating information about the venue to participants
- Gathering feedback about the venue from participants
- Recruiting and supervising 'site managers' for Autscape
- Checking with other board members to identify legislation relating to the venue and checking that Autscape complies (e.g. health and safety)
Venue co-ordinator person specification
- Commitment to Autscape
- Willingness and ability to devote the necessary time and effort
- Ability to communicate effectively with the venue
- Ability to report back information from the venue to the board
- Ability to keep records of communication with the venue
- Being willing to represent the board's views faithfully to the venue regardless of personal views
